As the Scheduler/Customer Service Specialist, you will be responsible for a variety of tasks to improve the customer experience. The primary responsibilities of this position are to work with our teams on answering incoming calls, entering information into our software, and ensuring that all leads/job boards are processed in a timely manner.

Job Summary
Answer phone calls providing exemplary customer service with a wide variety of customer needs including but not limited to:

    1. Scheduling complimentary estimates for attics, crawl spaces, or both areas.
    2. Gathering information from customers who have issues or concerns with work done and ensuring to get them to the correct person.
    3. Providing customers with information regarding the process of moving forward from the time of estimate to scheduling the work to be done.
  • Schedule estimates in company software and complete all required entry fields.
  • Contact customers in a timely manner who have reached out to us through various means requesting estimates.
  • Track all incoming leads making sure follow- ups are made in a timely manner.
  • Ensure estimator schedules are complete for each day, and their route is efficient.
  • Make any necessary updates to schedule as needed, including cancellations and rescheduling.
  • Track documents uploaded to Google Drive by estimators after each estimate, every day ensuring that every customer file is completed.
  • Work with estimators to collect any missing documents in customer files.
  • Create new customer files, ensuring all necessary paperwork is completed by the estimator, and uploaded to the estimator and uploaded to the customer file.
  • Responsible for handwriting and sending out Thank you cards to customers after work has been completed.
  • Weekly cleaning of the office area.
  • Assist with other clerical and office functions as time allows.
  • Other duties as assigned.

3+ years’ experience in a scheduling role with a customer service focus.

  • Excellent listening skills and phone etiquette.
  • Strong written and verbal communication skills
  • Dependable, strong initiative and attention to detail.
  • Excellent interpersonal skills, ethics, and cultural awareness.
  • Bilingual skills in Spanish-English abilities a plus.
  • Computer knowledge, Mac/Apple is preferred, familiar with Google docs, Gmail, Word, Excel, PetPac and QuickBooks online, etc.
  • Industry knowledge in the construction field or insulation installation a plus.
  • Skilled in multi-tasking; including the ability to be flexible and adapt to changes quickly in a fast-paced environment, strong problem solving and analytical skills.
  • Ability to work independently and in a team environment.
  • Pest Control knowledge/scheduling experience a plus.

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary. 

Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday 8:00 am to 5:00 pm.

No travel is expected for this position.

Required Education and Experience 

  1. High School diploma
  2. One year of administrative experience.

Preferred Education and Experience

  1. Associate degree
  2. Two years of related experience.
