Collections Coordinator/Customer Service Representative

Summary
Responsible for completing all job files and collection of all owe money and processing of utility rebates.
Essential Functions
- Process customer files after the work has been completed, including sending thank you email with after photos and final invoice promptly.
- Provide customer service regarding the collection of final payments and resolve client discrepancies.
- Ensure that utility paperwork is completed accurately and processed regularly.
- Process all client referrals, including requesting a check into QuickBooks Online to be processed by accounting and mailing Referral Thank You card.
- Assist other schedulers as the first backup with answering incoming calls and scheduling of estimator appointments.
- Accounts Payable assists with entering bills into QuickBooks or other approved software.
- Accounts Receivable – scan receipts and enter data from receipts – employee, date, vendor, amount of expense, etc. into QuickBooks Online or other approved software.
- Create and send collection letters as needed.
- Weekly cleaning of office area.
- Knowledge or ability to learn programs like PestPac, Word, Excel, Google Docs, QuickBooks Online, Gmail, etc.
- Other duties as assigned.
Competencies
- 3+ years experience in collections.
- Excellent listening skills and phone etiquette.
- Strong written and verbal communication skills
- Dependable, strong initiative, and attention to detail.
- Excellent interpersonal skills, ethics, and cultural awareness.
- Industry knowledge in the construction field or insulation installation a plus.
- Skilled in multi-tasking; including being flexible and adapting to changes quickly in a fast-paced environment, strong problem solving, and analytical skills.
- Ability to work independently and in a team environment.
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday 8:00 am to 5:00 pm.
Travel
No travel is expected for this position.
Required Education and Experience
- High School diploma
- One year of administrative experience.
Preferred Education and Experience
- Associate degree
- Two years of related experience.
